The purpose of this policy is to provide guidelines and procedures for the creation, management, and maintenance of Daytona State College Library’s InfoGuides Resources within the SpringShare library system. InfoGuides, also known as LibGuides, serve as valuable tools for organizing and disseminating information to our students, and their effective management is essential for ensuring their usefulness and relevance.

Purpose
The purpose of this policy is to provide guidelines and procedures for the creation, management, and maintenance of Daytona State College Library’s InfoGuides Resources within the SpringShare library system. InfoGuides, also known as LibGuides, serve as valuable tools for organizing and disseminating information to our students, and their effective management is essential for ensuring their usefulness and relevance.

Scope
This policy applies to all Librarians, Guide Editors, and Administrators responsible for creating, editing, or maintaining InfoGuides within the library system.

Roles and Responsibilities
Librarians: Librarians are responsible for creating and updating InfoGuides within their subject areas of expertise. They are also responsible for ensuring that the content is accurate, up-to-date, and meets the needs of library users.
Guide Editors: Guide Editors are faculty and staff members that may assist librarians in the creation, management, editing, and maintenance of InfoGuides by providing technical support, graphic design services, and content management assistance as needed. Guide Editors must be either faculty or staff that either have a relation to the topic of the guide or be employed by a department of Daytona State College that would be considered in relation to the topic of the guide.
Administrators: Administrators are responsible for overseeing the overall management of InfoGuides within the library system, including establishing policies and procedures, providing training and support to staff, and ensuring compliance with best practices and standards.

Content Guidelines
Accuracy: All information presented in InfoGuides must be accurate, reliable, and up-to- date. Librarians and Guide Editors are responsible for regularly reviewing and updating the content of the guides that they are assigned to ensure their accuracy.
Relevance: InfoGuides should be focused on specific topics or subjects relevant to the library’s collections and services. Other appropriate topics may include Student Resource Guides or Staff and Faculty Help Guides. Irrelevant or outdated content should be removed or updated promptly.
Accessibility: InfoGuides should be accessible to all users, including those with disabilities. Librarians and Guide Editors should adhere to accessibility standards and guidelines when creating and designing InfoGuides.
Copyright Compliance: Librarians and Guide Editors must ensure that all content included in InfoGuides complies with copyright laws and licensing agreements. Proper attribution and permissions should be obtained for any copyrighted materials used in InfoGuides.

Guide Types and Information
There are four types of guides:

Academic Topic Subject Guides

Course Guides

Student Resource Guides

Staff and Faculty Help Guides
InfoGuides must be maintained by at least one librarian and one Guide Editor. The librarian may act as the Guide Editor if the guide is an Academic Topic Subject Guide; otherwise, there must be an additional Guide Editor.

Academic Topic Subject Guides and Course Guides must follow the appropriate InfoGuide Template in LibGuides.

Academic Topic Subject Guides and Course Guides must be updated at least once per semester to remain published.

If a Guide has not been updated in at least two semesters, its status will be changed to private. If a Guide has not been updated in three or more semesters, its status will be changed unpublished and it will no longer be publicly available.

Student Resource Guides and Staff and Faculty Help Guides are required to be maintained by at least one Guide Editor from the guide’s originating department.

Student Resource Guides and Staff and Faculty Help Guides are not required to follow a template; however, all information presented must be neat and accessible for readability and comprehension.

Review and Evaluation
Regular Review: Librarians and Guide Editors should conduct regular reviews of their InfoGuides to ensure that the content remains accurate, relevant, and up-to-date. Reviews should be conducted at least once per semester or as needed.
Evaluation Metrics: Administrators and Librarians must establish metrics and benchmarks for evaluating the effectiveness of InfoGuides, such as the in-app usage statistics, user satisfaction surveys, and the other analytics provided by SpringShare.

Training and Support
Training: Everyone responsible for creating, editing, and maintaining InfoGuides should either participate in the SpringyU Courses provided by SpringShare or reach out to the Emerging Technologies Librarian for suggestions on training to use the InfoGuide creation tools, best practices, and accessibility guidelines.
Technical Support: Technical support is available via SpringShare or by contacting the Emerging Technologies Librarian.
